What Is a Meeting Time Zone Planner?

A Meeting Time Zone Planner converts one proposed meeting time into the local times of participants in different parts of the world.

It is useful for remote teams, international clients, online classes, virtual events, interviews, and any meeting where participants live in different time zones.

Important: Time-zone offsets can change because of daylight saving time. This calculator uses named IANA time zones so conversions are based on the selected meeting date rather than a permanently fixed UTC offset.

How to Use the Meeting Time Zone Planner

1

Set Meeting Time

Enter the proposed meeting date and local time.

2

Select Time Zones

Choose the source zone and participant locations you want to compare.

3

Compare Local Times

View each participant's corresponding date, time, UTC offset, and working-hours indicator.

How Time Zone Meeting Planning Works

The planner first interprets the entered date and time in the selected source time zone. It then represents that meeting as one exact moment and displays that moment in each participant's local time zone.

This is more reliable than simply adding a fixed number of hours because some locations change their UTC offset during the year.

Daylight Saving Time

Locations that observe daylight saving time may have different offsets in different months. For example, the difference between two cities can change during the year if their daylight-saving schedules differ.

Working Hours Indicator

The result cards provide a simple visual indicator based on each participant's local hour.

Local Time Indicator Meaning
Before 8:00 AM Early Hours The proposed meeting may be early for that participant.
8:00 AM – 5:59 PM Working Hours The time falls within the planner's general daytime work window.
6:00 PM or later Evening / Late The meeting falls outside the planner's general work window.

These labels are only planning aids. Actual working hours vary by person, organization, country, schedule, and day.

Frequently Asked Questions

What does a Meeting Time Zone Planner do?

It converts a proposed meeting time into the corresponding local date and time for people in different time zones.

Does this planner account for daylight saving time?

Yes. It uses named IANA time zones and the browser's time-zone database, so applicable daylight-saving offsets are taken into account for the selected date.

Can the meeting fall on a different date elsewhere?

Yes. A meeting may occur on the previous or next calendar day for participants in sufficiently different time zones.

What is UTC?

UTC is the global time standard commonly used as a reference when comparing time zones around the world.

Why do time differences change during the year?

Some regions observe daylight saving time while others do not, and daylight-saving transition dates can differ by location.

What are good hours for an international meeting?

The practical meeting window depends on each participant's actual schedule. The planner highlights a general 8 AM to 6 PM local-time window to make comparisons easier.

Can I plan a future meeting?

Yes. Select a future date and time and the tool will perform the conversion using the time-zone rules available in the browser.

Why should I use city-based time zones instead of fixed offsets?

Named time zones can account for regional offset changes, while a fixed UTC offset alone cannot represent all seasonal changes.
